Job Summary and Qualifications

Position Summary: Actively participates in outstanding customer service and accepts responsibility in maintaining relationships that are equally respectful to all. Provides administrative and secretarial support to the Case Management and One Call Center departments. These functions include assigning staff referrals, messages and patients to daily assignment lists, timekeeping duties, serving as the primary telephone contact person, word processing, filing, correspondence, mailing, data entry and providing support to all department staff members as requested. Screens, prioritizes, and refers to the appropriate resource persons, third party payer requests for patient information and precertification.

Job Responsibilities:

  • Demonstrates the ability to adapt technique/treatment to age of population served, including newborn, pediatric, adolescent, adult and geriatric patients, while providing care/service with respect to cultural differences and spiritual needs.
  • Demonstrates responsibility and accountability in the coordination of case management office and staff daily assignments.
  • Ensures patient/family/other communications are forwarded to staff as requested.
  • Ensures accurate daily timekeeping, follows guidelines for all deadlines and handling exceptions, inputting base schedules, changes, call pay, and making final corrections.
  • Coordinates, attends, and processes communications before and after meetings as requested.
  • Courteously and professional handles all department calls to main and Utilization Review lines, maintains staffing minutes, and Mox library.
  • Provides faxing, filing, reviewing, and processing of all department invoices.

 Qualifications:

Required Education or Experience 

  • 3 years of recent office management experience 

Preferred Education or Experience 

  • Bachelor's degree 

Required Knowledge and Skills 

  • Demonstrates excellent customer relations skills 
  • Strong clerical skills, keyboarding skills of 70 words per minute 
  • Basic medical terminology 
  • Knowledge of Microsoft Word, Excel, and PowerPoint 
  • Ability to perform mathematical computations 
  • Demonstrated ability to communicate effectively 
  • Ability to perform work in a self-directed manner with minimal supervision 

Preferred Knowledge and Skills 

  • Demonstrated knowledge of health care reimbursement 
  • Basic knowledge of performance improvement
